Paychecks: Direct Deposit and Earnings Statements

What is direct deposit?

Direct deposit is the electric funds transfer of your pay into your checking or savings account at the financial institution of your choice, anywhere in the United States or Puerto Rico.

Why should I sign up for direct deposit?

Your money will always be in the account you specify, even if you’re on vacation, in class, on a business trip or ill. You will not have to worry about lost or stolen paper checks, waiting in line to pick up a payroll check or making a special trip to the bank or credit union.

Is there a cost to sign up for direct deposit?

No. In fact, many financial institutions offer incentives such as free checking to encourage participation in direct deposit. Campus ATMs offer easy access to your account, and most are free.

How do I sign up?

  • Print and complete the online direct deposit form.
  • For deposits to a checking account, attach a voided check to verify the financial institution and account information.
  • Return the form to your department payroll and benefits coordinator or directly to the Office of Human Resources (OHR) at 21 N. Park St., Suite 5101.

When will my payroll be deposited?

On pay day, your money will be in your account no later than 9 a.m.

Is there any reason why my paycheck would not be deposited in my account?

If you enrolled after the payroll was calculated, you will need to pick up your check at OHR, 21 N. Park St., Suite 5101. Incorrect information may also cause deposit delays or problems. If incorrect information was submitted, contact your financial institution to verify your records. If you still have a problem, e-mail payroll@ohr.wisc.edu.

What should I do if I change financial institutions or accounts?

You must complete a new direct deposit form. If you close or change your account, and you fail to notify us, receipt of your pay may be delayed until the money is returned by your former financial institution.

What is an earnings statement?

This document lists your gross and net pay, withholding for taxes, benefit premiums and any other deductions.

The earning statement also shows classified employees’ paid leave balances. Unclassified employees will find this information on a separate leave statement.

How do I access my earnings statement?

Earnings statements are available online: Log on to the My UW–Madison portal with your NetID and password.

If you have not previously used the portal, click “Activate your NetID” to gain access (instructions on the Web site).

Click the Work Record tab.

When will my earnings statement be available?

Earnings statements are posted to the portal at least three days before pay day. Further details about the statements can be found on the OHR Web site.
